Conectys Serv Telecom SRL, Arcoman BVBA, Arcowave SA, Conectys Poland Sp. Z o.o., Conectys Philippines Inc., Conectys Turkey Iletişim Hizmetleri Limited Şirketi, and Arcowave Portugal Lda. (together referred to as “Conectys”, “us” or “we”) respect your privacy and are committed to protecting your personal data. Conectys is the Data Controller of the personal data it may collect and process in accordance with the present Privacy Notice (this “Notice”). This means that we are responsible for deciding how we collect, hold, use, and otherwise process your personal data. This Notice is aimed at informing you of how and why your personal data will be collected and used, namely for the purposes of the recruitment process, and how long it will be retained for. This Notice further aims at ensuring compliance with the General Data Protection Regulation ((EU) 2016/679) (the “GDPR”) and other locally applicable data protection laws and regulations, and to inform you of your rights in connection with the processing of personal data by Conectys.

CONECTYS shall collect and store your curriculum vitae (CV) and cover letter, and the personal data and information contained therein.

Your Data

We collect and process your personal data for recruitment purposes only, and solely to the extent necessary in the pursuit of our recruitment and selection activities. Accordingly, we shall collect and process your personal data as it is found on, or through, the following sources:

  • You, the candidate;
  • A third-party recruitment agency contracted by Conectys to support us in our recruitment and selection activities, as may be applicable; and
  • From publicly accessible sources, such as ejobs, Bestjobs, Linkedin, etc., where we collect your full name, email, work history, and other data included on your profile.

Additionally, and to the extent You, the candidate, have provided us with your express consent, we may also collect and process your personal data through Your named referees, from whom we collect the following categories of data: full name, periods of previous employment, performance during previous employment.

In connection with your application, we will collect, use, and store the following categories of personal data about you:

  • The data you have provided to us in your curriculum vitae (CV) and the personal data contained in your covering letter.
  • The data you have provided on our application form, including name, title, home/term address, telephone number, personal email address, date of birth, gender, employment history, qualifications, nationality, social media accounts, profession, professional memberships, educational achievements, diplomas, transcripts, languages, computer skills, national service completion (if applicable), identification number and any data you provide us during interviews at our premises.
  • Any personal data provided to us about you by your referees (if applicable).

Sharing Your Data

Due to the global nature of Conectys operations, your personal data may be disclosed to departments (HR and Operations) of the companies within the Conectys Group (i.e., Conectys Serv Telecom SRL, Arcoman BVBA, Arcowave SA, Conectys Poland Sp. Z o.o., Conectys Philippines Inc., Conectys Turkey Iletişim Hizmetleri Limited Şirketi, and Arcowave Portugal Lda.) for the sole purpose of managing the recruitment process. In so doing, Conectys will ensure that any such disclosures are fully compliant with applicable law, including with regards to international data transfers, if any, and that the companies within the Conectys Group will provide suitable technical and organizational measures to protect the personal data, as required by the applicable law. By submitting your application, you consent to this sharing of your data.

Furthermore, depending on the job for which you may be applying, your application data may be shared with third parties, including third-party service providers, who assist us with candidate assessment, recruitment administration, and background screening and vetting checks, as may be required for the exclusive purpose of the recruitment and selection process. Any such disclosures, if required, will be indicated in each individual job post. Any such third parties are contractually bound to keep your information confidential and to use it solely for purposes related to the recruitment process and in strict accordance with applicable data protection laws. By submitting your application, you consent to this sharing of your data.

Data Retention

We will retain your personal data for a maximum period of 1.5 years, counting from the date of your last application (if you are unsuccessful, we shall retain your personal data for 6 months or for a period of 1.5 years upon your explicit consent). We retain your personal data for that period so that we can show, in the event of a legal claim, that we have not discriminated against candidates on prohibited grounds and that we have conducted the recruitment exercise in a fair and transparent way. We further retain such personal data in case a similar role becomes vacant and for which you would be a fitting candidate. After this period, we will securely destroy your personal data in accordance with our data retention policy.

Purposes of the Processing

We use information held about you in the following ways:

  • To enhance any information that we receive from you with information obtained from third party data providers.
  • To consider your application in respect of a role for which you have applied/we sourced you.
  • Assess your skills, qualifications, and suitability for the role.
  • Carry out background and reference checks, where applicable.
  • Comply with legal or regulatory requirements.
  • To consider your application in respect of other roles.
  • To communicate with you in respect of the recruitment process.
  • To record you during the recruitment process, the language tests, and the interviews.
  • To enhance any information that we receive from you with information obtained from third party data providers.

Lawfulness of the Processing

 Under applicable law, we must have a “lawful basis” for collecting and using your personal data. Our uses of personal data as described in this privacy notice rely on the following legal basis: (i) performance of a contract or pre-contractual measure, whereby processing of personal data is necessary to take certain steps prior to entering into an employment contract, such as handling the application and selection process; (ii) legitimate interest, whereby processing is necessary for our legitimate interest in conducting efficient recruitment and selection of the best candidate that meets the job requirements, or in improving our recruitment processes; and (iii) compliance with legal obligations, whereby certain data processing may be required by applicable law, such as verifying the right to work or fulfilling statutory reporting obligations.

Your Rights

Please note that, as a data subject, pursuant to the EU General Data Protection Regulation (EU GDPR), you have the following rights in connection with the processing of your personal data:

  • Information rights under Article 13 and Article 14 EU GDPR;
  • Right of access under Article 15 EU GDPR;
  • Right to rectification under Article 16 EU GDPR;
  • Right to erasure under Article 17 EU GDPR;
  • Right to restriction of processing under Article 18 EU GDPR;
  • Right to data portability under 20 EU GDPR; and
  • Right to lodge a complaint with a supervisory authority.
